📋 Team Manager Corner

Team managers are the backbone of a smooth season. This page is built for you — practical tools, checklists, and templates to make your role easier from day one to the last game.

  • Confirm field location & kick-off time 48 hrs out — check the NYSA schedule
  • Send reminder to all families with directions + arrival time (arrive 15 min early)
  • Bring a printed roster — the referee may request one copy, and your opponent may need one too
  • Confirm players have matching uniforms — no jewelry; silicone spacers OK
  • Set up team area on the correct side of the field
  • Track player attendance and flag absences to coach before kick-off
  • Collect and distribute any snacks after the game
  • Post score/result in TeamSnap after the game

Snacks after games are optional and completely up to each team. If yours decides to do them, a rotating sign-up works much better than the same family every week.

  • Use SignUpGenius or a Google Sheet — one slot per home game
  • Share the link at the start of the season with a light-touch ask: “completely optional, store-bought is great”
  • Keep it low-pressure — not every family can contribute and that's okay
  • Remind the family on deck 2 days before game day

If your team wants an end-of-season celebration, consider asking a different parent to lead it — not your primary team manager — so the extra planning doesn't pile onto someone who's already handling a lot.

  • Venue ideas: local park, someone's backyard, a pizza place with a party room
  • Keep it simple: pizza, cupcakes, and a few words from the coach goes a long way
  • Timing: last game of the season or the weekend after
  • Tip: if you plan to cover food costs, collect a small amount per family early in the season — avoids last-minute scrambling

  • Set availability reminders to send 5 days before each game
  • Use Availability view before game day to spot no-shows early
  • Pin your roster & emergency contacts for quick sideline access
  • Use Chat for quick updates — keeps all communication in one place
  • Turn on game reminders so families get automatic push notifications
  • Upload the season schedule early so parents can add it to their calendars
  • Log game results right after the game while it's fresh
  • Check the Assignments tab to set up snack or volunteer duty rosters

  • Contact your Club Equipment Manager at the start of the season — don't wait
  • Confirm each player has a numbered jersey, shorts, and socks
  • No jewelry during games — silicone spacers are allowed
  • Keep a note of missing or damaged kit items to report back to the club

  • When you pick up your team packet (pennies, ball, Pugg goals) at the start of season — that's also when you'll receive your NYSA-provided basic med kit. See the Med Kit section below.
  • Pugg goals must be returned to your club by November 15 at end of season
  • Collect any borrowed club equipment (pennies/pinnies, cones, etc.)
  • Return Pugg goals to your club by November 15
  • Return basic med kit to club if it was on loan
  • Send a thank-you message to all families
  • Coordinate any end-of-season celebration with the coach
  • Submit a kit inventory to your Equipment Manager
  • Archive the TeamSnap team or hand off to next season's manager
  • Pass along any notes or tips for the next person in the role

🩹 Med Kit Recommendations

ℹ️NYSA provides a basic med kit to every team. You'll pick it up along with your pennies, ball, and Pugg goals at the start of the season. The items below are additional recommendations to supplement what NYSA includes — bring as many as you can.

Coaches and managers who build out a fuller sideline kit are always glad they did. Check with your club about anything else that may already be available.

Extra bandages & adhesive strips — various sizes beyond the basics in your NYSA kit
Gauze pads & athletic tape
Instant cold packs ✨ — your most-used item. Bring at least 2–3 per game beyond what's in the NYSA kit.
Nitrile gloves — at least 2 extra pairs
Antiseptic wipes or spray
Elastic bandage wrap (ACE wrap) for ankle support
Saline eye wash — for dirt or debris
Tweezers — splinters and debris
Sunscreen — SPF 30+ for early-season hot days
Emergency contact list — printed, not just on your phone
Extra water — for rinsing wounds as well as drinking
Allergy info — know which players have known allergies or conditions

⚠️ Team managers and coaches are not expected to provide medical treatment. If a player is seriously injured, call 911 and contact a parent immediately. Know where the nearest AED is located at your field.
